Audit-Ready Data Certification: What Evidence Examiners Expect

When an auditor or examiner reviews a certified data asset, they rarely stop at the certificate. They ask what supports it. Audit-ready certification means the supporting evidence is complete, current and easy to find.

The evidence file for a certified asset

For each critical data asset, keep a record containing:

  1. Definition and scope. What the data means, where it is used and what it is not.
  2. Ownership. Named owner, steward and approver, with their roles.
  3. Policy mapping. Which policies and standards apply.
  4. Controls. The checks and procedures that protect the data, and who operates them.
  5. Test results. Quality results, reconciliations and control test outcomes, with dates.
  6. Lineage. How the data moves from source systems to the reports that use it.
  7. Exceptions and remediation. Issues found, how they were resolved and by when.
  8. Approval. The sign-off, who gave it and when.

Make evidence current, not periodic

Evidence assembled once a year is out of date when it is requested. Better practice is to attach evidence as it is produced: each control test, approval and change recorded against the asset. Then the record reflects the present state without a special effort.

Common weaknesses

  • Evidence scattered across email, shared drives and individual laptops.
  • Approvals recorded in chat or verbal agreements.
  • Test results with no date, owner or link to the control.
  • Spreadsheet trackers with no history of who changed what.

Replacing spreadsheet trackers with a certification pipeline gives each asset a stage, an owner, SLAs and linked evidence in one place.

Track what is overdue

Audit readiness also means knowing where you are not ready. Track assets stuck in a stage, overdue tests and expired certifications, and escalate them. Bottlenecks found internally are far cheaper than findings raised externally.

Plan for change

Certified assets change: systems migrate, teams reorganize and rules evolve. Define re-certification triggers up front and record them. For more on why certification can lapse, see what data certification is.

Link it to frameworks

Evidence is most useful when it maps to what examiners ask about. Linking assets to frameworks such as BCBS 239 or OCC expectations shows quickly where proof exists. Our OCC data governance page outlines the typical themes.

A quick readiness test

Pick one critical asset and ask your team to produce its full evidence file in thirty minutes. If that is hard, you have found where to start. To see how a workflow can make it routine, explore our data certification software or book a demo.
